The request sounds pretty straightforward\u2014until the search begins.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Some certificates are stored in personnel files. Others are attachments on emails. In places dates on the training spreadsheet don\u2019t match the learning management system, and nobody can confirm if two night-shift employees completed their refresher training.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What should take minutes becomes a stressful and very time-consuming task.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is a familiar scenario. Often showing that the problem is not the lack of training, but a failure to record, verify and monitor staff training.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Why are audit-ready training records important?<\/h4>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><em>Audit-ready training records should be complete, accurate, current, accessible and evidence-supported.<\/em><\/strong><\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This helps a care organisation demonstrate that employees have the knowledge, skills and competence they need to perform their roles safely. Reliable records allow managers to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Identify gaps in mandatory training<\/li>\n\n\n\n<li>Monitor course and certificate expiry dates<\/li>\n\n\n\n<li>Schedule refresher training before it gets overdue<\/li>\n\n\n\n<li>Confirm that learning is relevant to each employee\u2019s role<\/li>\n\n\n\n<li>Give clear evidence during an audit or inspection<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Incomplete records will make it difficult to demonstrate staff training compliance, even when staff have completed all the required training.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Poor record-keeping could also cover over more serious risks. Training records are being stored in different places<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Some certificates are in paper files, others are saved in email accounts and the remaining information is split between spreadsheets and online learning platforms.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">When there is no agreed system for information, records often become duplicated, inconsistent and difficult to find.
